About the role

National Archives provides leadership in best practice management of the official record of the Commonwealth and ensures that Australian Government information of enduring significance is secured, preserved and available to government agencies, researchers and the community.

The National Archives provides leadership and support to Australian Government entities, their employees working in information management, by setting standards for digital transformation, information and data management and records security. The Executive Assistant is responsible for providing high level support to their Assistant Director-General/Deputy Director-General and leadership team at the National Archives.

Under general direction the main duties of the APS 4 role are to:

  • Provide executive support to their Assistant Director-General, including diary management, travel arrangements, secretarial support, preparation of correspondence, filing and office administration.
  • Work collaboratively as part of the wider Executive Support team
  • Coordinate and monitor inputs across the branches for Assistant Director-General clearance.
  • Coordinate arrangements for branch meetings, external forums and stakeholder meetings.
  • Liaise and negotiate with internal and external stakeholders and provide appropriate advice and assistance as required.
  • Other duties as required to support the Assistant Director-General and the Branch.
  • Apply the principles of APS Values, Code of Conduct, workplace diversity principles, work health and safety and participative management within a work and team environment.
  • Promote and apply the National Archives’ Vision, Mission and Commitments as expressed in Strategy 2025–2030: Evolving National Archives and Our Values.

  • Provide executive support to the Deputy Director-General, including diary management, travel arrangements, secretarial support, preparation of correspondence and meeting papers, records management and office administration.
  • Work collaboratively as part of the wider Executive Support team.
  • Coordinate and monitor input across all Branches for Deputy Director-General clearance.
  • Liaise with internal and external stakeholders and support the coordination of domestic and international meetings and speaking engagements.
  • Provide secretariat duties as required at executive meetings.
  • Monitor changes in the broader work environment that may impact the Deputy Director General.
  • Provide training and leadership to Executive Assistant cohort.
  • Other duties as required to support the Deputy Director-General.
  • Apply the principles of APS Values, Code of Conduct, workplace diversity principles, work health and safety and participative management within a work and team environment.

Previous experience as an Executive Assistant is desirable but not required.
